Coffee at trade shows falls into two very different buckets:

- Morning break (30 min): Expect 40-60% of attendees to hit the coffee area. A booth cart with two baristas serves 40-60 drinks in that window — potentially serving hundreds if you extend service.
- Lunch break: Coffee demand drops. Iced drinks pick up.

Two-barista setups are almost always worth the premium for trade show contexts. Waiting in line at your booth is fine; waiting 15 minutes at your booth for coffee is not.
Venue Rules and Restrictions
This is where trade shows get complicated. Most convention centers require:
- Certificate of insurance from the coffee vendor, naming the venue as additionally insured
- Food handler permits in the applicable jurisdiction
- Approved power connections — many venues charge for electrical hookup
- Waste disposal handled per venue rules
- Load-in windows that must be strictly observed
Some venues also have exclusive catering contracts that prevent outside vendors entirely. Check with your show organizer before booking.
Sponsored Conference Coffee Breaks
Sponsoring the main conference coffee break is one of the most efficient brand impression opportunities available at large events. For a mid-size conference (500-1,500 attendees), sponsorship typically ranges $10,000-25,000 and delivers:
- Verbal shout-out from the stage
- Signage at every coffee station
- Branded cups in every hand for the next hour
- Program placement as break sponsor
Coffee break sponsorship usually outperforms banner ads and lanyard branding on both cost-per-impression and quality-of-impression metrics.
Menu Considerations for Trade Shows
Simpler is better. Complex signature drinks slow the line and create friction. Recommended menu:
- Espresso, Americano, Latte, Cappuccino (the core four)
- Cold brew iced coffee (for afternoon)
- Hot tea and chai (non-coffee option)
- Oat milk, whole milk, half & half
- Decaf available on request
Skip anything requiring more than 60 seconds to make. Pour-overs, elaborate signature drinks, and cold foam preparations create bottlenecks.
